This communication is being sent to Madison Readiness Leads, Madison Technical Coaches, and ancillary system technical and business contacts for systems with a disposition of Keep, Partial Replace, Replace, N/A, Not Yet Reviewed, or TBD. This communication only impacts ancillary systems that get data from IAM and will exist after Workday is implemented. This communication was intentionally sent to a wide distribution to ensure all impacted ancillary systems were included.
Dear colleagues,
We are pleased to send important updates regarding Identity Access and Management (IAM) as it relates to Ancillary Systems for the Administrative Transformation Program (ATP) and Workday implementation.
Please view our new Data Changes and Ancillary Systems website. It will be kept up to date with all outgoing communications from IAM and links to key resources from ATP. Highlights include:

- An overview of key data changes as a result of Workday
To do
Ancillary system owners should:
- Ensure your team’s systems are accurately tracked
- Watch this video: IAM Updates for Ancillary System Owners & Manifest Group Owners June 2024
[Update: the audio description version of IAM updates video is now available] - If possible, setup or configure a test environment for your ancillary system
- Ancillary System owners (ASO) are responsible for the transition and testing of their systems. This includes systems with a final disposition of N/A.
- Review Data Changes and Ancillary Systems and evaluate known changes:
- Workday does not enforce character limits. Explore how your system will manage a potential increase in characters.
- Workday accepts UTF8 characters. How will your system ingest names with accented characters?
- Understand how your system is leveraging UDDS and think about if Supervisory Organization or Cost Center is appropriate for your application.
- Legacy Data View Owners should consider a transition to Person API
- Manifest Group Owners should review the May 13 Presentation “Identity and Access Management (IAM): Grouper and Manifest” https://secure.atp.wisconsin.edu/tech-curriculum/
To know
IAM will send additional communications based on the IAM integration method:
- Manifest/Grouper – Group owners who leverage data-driven UDDS groups will receive an email in June.
- Legacy Data View – Ancillary system owners will receive an email in June.
- NetID Login and Campus Active Directory – Ancillary system owners will receive an email in July.
Questions? Please work through your assigned PM/BA via ATP/ASP.
Thank you,
Identity Access Management Team
