Action Needed: Manifest Groups using UDDS

This communication is being sent to Manifest group administrators (aka owners) for groups using data-driven UDDS groups.

Dear Colleagues,

We are pleased to share information that will allow Manifest group administrators to plan for the transition from UDDS to Supervisory Organization, Cost Center, or UW Organization Structure. This email includes details on a new Workday structure and IAM technical work to be completed in late March.

To Know: UW Organization Structure (UWOS)

UW Organization Structure will be an additional grouping structure from Workday and made available in Manifest

  • This is new information shared with campus on February 4, 2025, via the ATP Integrations Follow-up | Workday Organizations Realignment and UDDS Guidance Updates email
  • While there is not a drop-in replacement for UDDS for ancillary systems, the UW Organization Structure will be the closest equivalent for use cases that need to group workers, similar to grouping people by HRS UDDS today.
  • UW Organization Structure is the Supervisory Organization (Sup Org) structure grouped by Cost Center Hierarchy Level (CCHL) in Workday.

To Know: Updating Manifest Groups that use UDDS

In late March, the IAM team will communicate directly with Manifest group owners with directions on updating Manifest groups that use UDDS. Below is a summarized preview of the process.

 

  • ATP will:
    • Manage the Cost Center & Sup Org remapping and ATP dress rehearsal tenant build which allows the updated data to be available to IAM (~3/10/25).
    • Make UWOS data available in the Worker Directory Tableau dashboard around 3/12/25. The UWOS Resources section contains links to Tableau dashboards.
  • Late March IAM will:
    • Make the Supervisory Organization, Cost Center, and UW Organization Structure (UWOS) groups available in Manifest production without membership information.
    • Inform Manifest group owners of the Sup Org or UWOS that has the largest membership overlap with the UDDS membership, by UDDS.
    • Programmatically update each production Manifest group with the Sup Org or UWOS that has the largest membership overlap with the UDDS membership.
      • There will not be any membership data for Sup Org or UWOS in Manifest production yet. This allows us to add the Sup Org or UWOS to each Manifest group ahead of Workday go-live without granting access to additional populations.
  • Late March, Manifest group owners for groups using UDDS will:
    • Review the information from IAM and if needed update the Sup Org or UWOS in their Manifest group.
      • There will not be any membership data for Sup Org or UWOS in Manifest production yet. Manifest Group Owners will use the ATP Tableau Reports and or Manifest test environment to see memberships.
      • The UDDS in each Manifest group cannot be removed until after Workday goes live.
    • Report the status of their work for each Manifest group to IAM.
  • Go-live
    • Within the week of Workday go live, system owners need to validate that their system is working accurately using the new Workday data driven groups. If a different Sup Org or UWOS is needed, make the change.
    • Post Workday go live, the old UDDS groups will be automatically removed from Manifest groups.
