Action needed by May 23: NetID Login Testing

This communication is being sent to contacts for systems that receive name data via NetID Login and are part of the May 2025 testing window.

Dear Colleagues,

As a contact for a system that receives name data via NetID Login, you are being asked to complete the required testing for your system. The testing window is Tuesday, May 13 – Friday, May 23, 2025.

This testing is required for your system due to one of the following reasons:

  • Your system started receiving name data via NetID Login after the previous testing window.
  • During the previous testing window, your system was unable to test because the test user accounts were not employees or students. You should now be able to test.
  • During the previous testing window, your system was unable to test because the test user accounts did not have an @wisc.edu email address. You should now be able to test.

To do

  • Review the testing directions: NetID Login Testing Name Directions (May 2025)
  • Plan to attend at least one of the Q&A sessions to ask questions about this testing process. We will be sending you invitations to the below Q&A sessions. Once you have completed your testing, there is no need to attend later sessions.
    • May 16, 2025, 1 – 2pm
    • May 19, 2025, 1 – 2pm
  • Complete testing
    • Step 1: Confirm Entity IDs and Testers
    • Step 2: Practice Using NetID Login Diagnostic
    • Step 3: Update Manifest (if needed)
    • Step 4: Test with Your System
    • Step 5: Record Outcomes of Testing
    • Step 6: Restore Systems to Pre-Testing State

To know

  • Access to the test NetIDs will begin on Tuesday, May 13, 2025.
    • After logging into your application, you will be prompted to select a NetID. You can select your own NetID or one of the test NetIDs (utf8test1, utf8test2, utf8test3, utf8test4, utf8test5). Additional information is in the NetID Login Testing Name Directions (May 2025)

  • The NetID Login Validate System Info sheet, May 2025 Name Testing tab, lists the systems that are invited to test NetID Login.
  • Workday implementation for systems using NetID Login:
    • Workday will make data available as UTF8 without character limits. Therefore, NetID Login will deliver name data as UTF8 and 1,024 byte limit. If your system cannot consume UTF8 and/or more characters, IAM will provide your system with name data with ASCII characters.
  • Systems that can consume UTF8 characters should use UTF8 name data. Names displayed with UTF8 are more inclusive and better represent users’ identities. That said, we recognize not every system will be compatible with UTF8.
  • Your testing results determine which version of name your system will be given via NetID Login after Workday goes live in July 2025. Systems that do not test may not receive the appropriate version of name for their system. Depending on how your system uses name data, this could have significant impacts, including users’ ability to access your system and people’s names being appropriately represented in your system.
