CAD ASOs Convert to Manifest Groups for UDDS
ASOs for systems receiving UDDS data via CAD need to convert to Manifest groups to receive UDDS data. UDDS data in CAD is legacy and Sup Org/ Cost Center won’t be in CAD.

CAD ASOs Test UTF8
ASOs for systems using CAD to recieve name data need to test their applications for compatibility with UTF8 and unlimited characters. Currently, CAD is receiving data as ASCII and limited characters.

NetID ASOs Test UTF8
ASOs for systems using NetID Login to recieve name data need to test their applications for compatibility with UTF8 and unlimited characters. Currently, NetID Login is receiving data as ASCII and limited characters.
Done (November 2024) and an additional timeline in May 2025 for new applications only
NetID Login Cleanup of Unused Entity IDs and Attributes
During the NetID ASO Test UTF8, some ASOs reported that some Entity IDs were unused or not using the name data being sent via NetID Login. IAM will communicate with ASOs and then decommission unused Entity IDs and removed unused name data attributes (NetID Login Decommissioning Feb. 3rd; NetID Login Name Data Removal Feb. 3rd).

NetID ASOs Convert to Manifest Groups for UDDS
ASOs for systems receiving UDDS via NetID Login need to convert to Manifest groups to receive UDDS data. UDDS data in NetID Login is legacy and Sup Org/ Cost Center won’t be in NetID Login. Previous Request for Information (Action Needed by August 15: IAM test option preparation (NetID Login)).
6 Week Window, sometime in February to March 2025
Manifest Group Owners update structures replacing UDDS
Manifest group owners for groups using UDDS need to update their Manifest group to use supervisory organization, cost center, and/or UW Organization Structure.
Sometime April to May 2025

Dependencies: Cost Center & Sup Org Remapping and ATP Dress Rehearsal tenant build to allow IAM to have the data on approx. 3/10/25.

Legacy Data View ASOs Test
ASOs for systems using a legacy data view need to test changes to the data associated with Workday. This includes UTF8, Sup. Org and Cost Center, and more. Previous request for information (Action Needed by August 15: IAM test option preparation (Legacy Data View))
Data View testing will be a rolling process with testing released to ASOs in batches February to June 2025.

Final view delivery is dependent on the Cost Center & Sup Org Remapping and ATP Dress Rehearsal tenant build to allow IAM to have the data on approx. 3/10/25.

February-April 2025 Updates

NetID Login

Next steps

  • IAM will cleanup previously reported unused Entity IDs and attributes (1/27/25-2/7/25)
  • Fewer than 20 systems receive UDDS directly from NetID Login and ASOs need to convert to Manifest (February – March 2025)
  • ASOs (Ancillary System Owners) for newly integrated applications will need to complete testing for UTF8 name data (May 2025)

Dependencies

  • There are no outstanding needs from ATP to enable this work.

Go live

  • The IAM team will use the ancillary system owner NetID testing results to deliver ASCII or UTF8 name data via NetID login at Workday go live.

Manifest Groups using UDDS

Next steps

  • 4/1/25 Update: By the end of the day on 4/15, IAM will email Manifest group owners with directions on reviewing updates to Manifest groups that use UDDS. This will include the following tools and resources:
    • In production, IAM will programmatically update each Manifest group with the Workday Organization that has the largest membership overlap with the UDDS membership.
    • IAM will inform Manifest group owners of the Workday Organization that has the largest membership overlap with the UDDS membership.
    • Manifest group owners will be given access to a tool (developed by DoIT Web and Mobile Solutions) that will allow a visual comparison of UDDS to Workday Organization.
      • The tool will improve decision making, enabling Manifest Group Owners to view members that would be missing, added, and/or matched depending on what replacement Workday Organization is selected.
    • Manifest group owners will review the information from IAM, update the Workday Organization in their Manifest group as needed, and report on completion of this work.
  • 3/24/25 Update: Previously the IAM team planned to ask Manifest group owners to review their Manifest groups at the end of March. We are now targeting mid-April.
    The IAM team is exploring a new tool to support the UDDS to Workday Organization mappings.

    • The IAM team expects to use this new tool to support Manifest group owners with groups using UDDS, and requires time to create alignment between the tool and Manifest to ensure consistency.
    • This new tooling will result in the most accurate replacement supervisory organization to be identified for each UDDS based upon membership overlap between UDDS & Supervisory Organization.
  • On February 4, 2025, ATP communicated about UW Organization Structure. The IAM team shared that information and additional next steps with Manifest group owners in the Action Needed: Manifest Groups using UDDS email.
  • Around 3/10/25, IAM will receive updated data from ATP. Then IAM will make the Supervisory Organization, Cost Center, and UW Organization Structure (UWOS) groups available in Manifest production without membership information.
  • The IAM team is targeting mid-April for action to be taken by Manifest group owners for groups using UDDS.
    • ‘IAM will inform Manifest group owners of the Sup Org or UWOS that has the largest membership overlap with the UDDS membership.
    • In production, IAM will programmatically update each Manifest group with the Sup Org or UWOS that has the largest membership overlap with the UDDS membership.
    • Manifest group owners must review the information from IAM and update the Sup Org or UWOS in their Manifest group as needed. There will NOT be any membership data in Manifest production yet. Manifest Group Owners will use the existing ATP Tableau Reports (updated 3/12) and or Manifest Test to see the memberships. Manifest group owners must report the status of this work to IAM.
    • The UDDS in each Manifest group cannot be removed until after Workday goes live. After go-live and a period of stabilization, IAM will programmatically remove UDDS groups leaving only the Workday structures in place.

Dependencies

  • Cost Center & Sup Org remapping and ATP dress rehearsal tenant build. IAM will get the data around 3/10/25.
  • UWOS available in Worker Directory Tableau dashboard 3/12/25.

Go live

  • Within the week of Workday go live, system owners need to validate that their system is working accurately using the new Workday data driven groups.
  • Post Workday go live, the old UDDS groups will be automatically removed from Manifest groups (TBD timeline).

Legacy data views

Next steps

  • Email data view owners about the process for data view testing (February).
    • Legacy data views are bespoke and therefore the IAM team must update each data view individually. The IAM team will make the necessary Workday related updates to data views in batches (leveraging IAM’s two week sprints).
    • Then the data view owner (also known as system owner) must test. Each data view will be assigned a two week testing time frame for the data view owner to complete the testing.
      There will not be one testing timeframe for all data views.

Dependencies

  • Final view delivery is dependent on Cost Center & Sup Org remapping and ATP dress rehersal tenant build. IAM will get the data around 3/10/25.

Go live

  • IAM will programmatically switch to the new data views for all systems as part of the cutover to Workday.
  • Within the week of Workday go live, system owners need to validate that their system is working accurately using the new data view.
